Multi-factor authentication
Multi-factor authentication (MFA) is already enforced for Office 365 (Email, SharePoint, OneDrive, Teams, etc.) for multiple groups on campus as well as new users. IMSS is currently working on enrolling users to have MFA via Duo, enforced for Office 365 as a way to better protect your email against unauthorized access.
MFA Self Enrollment
If you would like to self-enroll in MFA for Office 365 (Email, SharePoint, OneDrive, Teams, etc.), please review the information below.

*Use of the Duo service is free for students, faculty, and staff when using Duo Mobile on your mobile device. Users may optionally purchase a hardware token (YubiKey) is $32 for the USB type A (standard) and $50 for the USB type C.
Prerequisites for MFA for Office 365
Duo Mobile app vs. Yubikey
- Duo Mobile App: Most users elect to install the Duo mobile app on their smartphone device. This option is free. You must install Duo Mobile for iOS or Duo Mobile for Android
- YubiKey: This is a hardware token ranging from $32-$50
Verify that you have a supported email client
Sign-up for MFA with Duo
- Self register your mobile device for Duo
- Request MFA for Office 365 (Email, SharePoint, OneDrive, Teams, etc.) by sending an email to help@caltech.edu. Please note that some email clients may require you to reconfigure your account. Depending on your mailbox size, it may take some time for all your email to re-download.
Sign-up for MFA Using a Hardware Token
Submit a request via https://help.caltech.edu (request type: IMSS > Information Security > Duo Request). In this ticket also specify that you want to enroll in MFA for Office 365 (Email, SharePoint, OneDrive, Teams, etc.). Please note that some email clients may require you to reconfigure your account. Depending on your mailbox size, it may take some time for all your email to re-download.
Sign-up for MFA for Other Apps
If you are interested in using MFA for other applications, please send an email to help@caltech.edu to confirm eligibility. If the application supports MFA, the Help Desk will be able to guide you through the enrollment process.
