Gmail Users and MFA
Receiving Caltech Email in Gmail and/or Sending Caltech Email From Gmail
You may have previously configured your Gmail account to pull your Caltech email and/or to be able to reply from Gmail as @caltech.edu (send on behalf). This configuration relies on basic authentication, which is a less secure authentication method. Multi-factor authentication (MFA) requires modern authentication, a more secure authentication method. As a result, when your Office 365 account is enrolled in MFA (Duo), you will no longer be able to pull Caltech email into Gmail and/or reply from Gmail on behalf of your Caltech account.
Workarounds
- You can use Outlook Web to manage your Caltech email
- Follow the Email Configuration Guides to configure a supported email client
- If you have a mobile device with the Gmail app, you can add your Caltech account to send and receive email as the Gmail app does support modern authentication and will continue to work with MFA (Duo).
Forwarding Email to Gmail
Email forwarding to Gmail will not be impacted. Forwarding will continue to work after your Office 365 account is enrolled in MFA (Duo). The Gmail configuration that is impacted is described above.
