Conference Calls
IMSS offers support for the following types of collaboration: Voice only, Zoom Video and Voice, Microsoft Teams.
Voice Only Conferencing
Campus Phone System
3–6 Participants (Self Setup, Using a Digital Phone)
- Call a conference participant.
- Press the Conference button, wait for dial tone, dial your next party.
- Once the new party is on the line, press conference to bring your parties together.
- Repeat steps 2 and 3 to add additional participants, up to a maximum of 6.
- If you get a busy signal/no answer when dialing a party, press the flickering green button to return to your conference.
Set Up by the Campus Operator
At least two hours before the desired call time (where possible),
- Fax a list of participants and numbers, and the requested call time, to the campus operator (795-1547).
- At the requested time, the campus operator will contact you.
- The operator will then add participants one at a time until all are connected.
- If a call is dropped during the conference, dial 0 (campus operator) to request a reconnect.
Charges
- You pay for each leg of the conference call that is outside the local calling area (requires you to dial an authorization code).
- Each dialed number will show up separately on your monthly long-distance report.
- Current rates are $0.06/minute for all calls within the U.S.

Please note: If any conference participant uses a cell phone, the quality of the conference call for some/all participants may be affected.
AT&T Conference Kit (7–50 Participants)
AT&T‘s Conference Kit allows you to have a consistent number for your participants to dial, and a consistent host and participant code. You can use this service at any time without reservation. The cost is $0.043/minute for each participant when using the toll free call in number.
- Call x5995 for Caltech‘s verbal password for AT&T Teleconferencing Services
- Call AT&T Conference Services and request a Conference Kit (9-1-800-526-2655).
- Provide your name, telephone number and email address, along with the password. If AT&T asks about billing indicate that this should be added to Caltech‘s summary account.
- You will get an email from AT&T with your dial-in number and host and participant codes. Additional information on using the service is included in the email. The email will also contain your Folder ID. You will need this number if you need to contact AT&T regarding your teleconference services.
- Once you receive the email:
- Distribute the toll-free number and participant code to your conference participants. DO NOT DISTRIBUTE THE HOST CODE.
- At the time of the conference, dial the toll-free number and input the host code.
- Your participants will dial the toll-free number and input the participant code. Once the host has joined, the conference will begin.
- AT&T Operator assistance is available during the call:
- Dial #0 for the menu and 0 to be connected to an operator.
Additional charges are incurred when an AT&T operator assists during a call.
Charges
- $0.043/minute is charged for each leg of the call.
- Inform Telecommunications of the date and time of the conference call.
- Invoices are received and paid monthly by this office.
- You will be contacted for a PTA.
- Call x5995 for additional information.
AT&T Toll-Free Dial-In (7–200 Participants)
At least two hours before the desired call time (where possible),
- Call x5995 for Caltech‘s verbal password for AT&T Teleconferencing Services
- Dial the AT&T Conference Operator (9-1-800-526-2655).
- Request a conference reservation. If you have reserved conferences in the past, you will have a Folder ID that you should provide at this time. If this is the first time you are reserving a conference, request a new Folder to reserve a conference.
- Provide the operator with the following information:
- Date, time, and duration of the call
- Number of participants
- Caltech‘s password
- Specify:
- Toll-free dial-in (you pay for all participants; International callers cannot be included), or
- Caller-paid dial-in (each participant pays for own usage).
- You will receive a toll-free number, a conference ID, and a PIN.
- Distribute the toll-free number and conference ID to your conference participants.
- At the time of the conference, dial the toll-free number and input the conference ID.
- Input the PIN when officially prompted to begin your conference.
- AT&T Operator assistance is available during the call:
- Dial #0 for the menu and 0 to be connected to an operator.
Additional charges are incurred when an AT&T operator assists during a call.
Notes:
Each time you request a toll-free dial-in conference you will receive a different conference ID and PIN. For information about having a consistent conference ID and PIN, see the Conference Kit information.

- Invoices are received and paid monthly by this office.
