Sending email to everyone at Caltech
There are two main ways to communicate information to the Caltech community: email and the ION Caltech newsletter.
Directory Mailer Application
The Directory Mailer is a web-based access.caltech application for sending campus-wide email communications to one or more groups, using directory.caltech.edu as its authoritative source for directory information and group membership.
There are many distribution groups available: faculty, staff, postdocs, graduate students, undergraduate students, and external affiliates. The faculty, graduate student, and undergraduate student groups are further divided by type or year of study, so that, for example, a mailing can be sent to only research faculty or only juniors. Mailings can also be sent to any combination of available groups.
Messages intended for distribution to any campus groups must be approved by the approvers listed in the table below who represent the recipient groups. Proposed messages should be submitted to the relevant approvers by email.
Recipients | Approver | Office | Email Address |
---|---|---|---|
Faculty | Stacey Scoville | Provost’s Office | staceys@caltech.edu |
Postdoctoral Scholars | Julia McCallin | Human Resources | julia.mccallin@caltech.edu |
Staff | Julia McCallin | Human Resources | julia.mccallin@caltech.edu |
Graduate Students | Natalie Gilmore | Graduate Dean’s Office | ngilmore@caltech.edu |
Undergraduates | Beth Larranaga | Dean’s Office | rosel@caltech.edu |
Officers of the Faculty | Jasmine Delgado | Officers of the Faculty | jasmined@caltech.edu |
Access to the Directory Mailer application is limited to the offices listed in the table above. Approvers for each office may submit an access request form to IMSS to add authorized users for that group as needed.
If you have any questions or difficulties, please contact IMSS directly.
